Setup is mostly connecting the systems Ari will work in. Each connection is a couple of clicks through the LedgerUp control panel, and you only need billing to start; add the rest as your workflows need them.
  • LedgerUp account — you’ll manage connections in the LedgerUp control panel
  • Slack workspace — Ari lives in Slack (admin access helps for installing apps)
  • Billing system credentials — login for the system(s) you bill from, e.g. Stripe, Chargebee, or QuickBooks

Step 1: Connect your billing system

This is the one required connection: it gives Ari your invoices, customers, subscriptions, and payments. Wherever your billing lives (Stripe, Chargebee, QuickBooks, or a mix), connect it here.

Open the LedgerUp control panel

Log in at app.ledgerup.ai and go to Integrations.

Connect your billing system

Click Connect on each system you bill from, authorize through its own login, and confirm the permissions (invoices, charges, customers, subscriptions).
Each integration page covers exactly what Ari can see and do in that system.

Step 2: Connect your contracts

Connect PandaDoc or DocuSign from the same Integrations page so Ari can read signed agreements, extract billing terms, and invoice to match what was signed. If your deals live in a CRM, connect HubSpot, Salesforce, or Attio here too.

Step 3: Add Ari to email

Connect email so invoices and reminders go out from your company domain (like [email protected]) instead of a generic service address, and so Ari can watch for customer replies.
Verify your domain’s SPF, DKIM, and DMARC settings in LedgerUp during this step. It takes a minute and keeps your emails out of spam folders.

Step 4: Add Ari to Slack

Install the app

Go to ledgerup.com/install-ari, click Add to Slack, and review the permissions. If your admin already installed Ari, he’s in your sidebar and you can skip this.

Add him to your channels

Ari works best in dedicated channels like #ar-team or #collections. Click a channel’s info icon, open Members, and add the Ari app. Direct messages work too.

Say hello

Verify everything is wired up:If he answers with a number, you’re live.
Slack isn’t the only place to talk to Ari: you can also chat with him directly in the LedgerUp platform at app.ledgerup.ai, no Slack required.

Step 5: Tell him about your business

Give Ari the context a new teammate would need: your terms, your process, your vocabulary. Each of these takes a few seconds and applies team-wide from then on. The full starter coaching plan is in Give Ari instructions.

Step 6: Set up his first tasks

Ari comes with ready-made automations. Pick the ones that fit and paste them in; every new task starts in approval mode, so Ari proposes and you approve until you trust it to run on its own.

Everything to review lands in one inbox

As Ari works, anything that needs a human comes to your unified inbox: an invoice ready to send, a billing email or support ticket to handle, a contract to approve for revenue recognition. It’s one queue for every action and review across all your connected systems, so nothing waits in a tool you forgot to check. Approve, modify, or reject from the inbox, or from the Slack thread where the work started. See Review plans and approvals for how the review flow works.
